Spond is available on;

We would recommend using the web to register your team and to manage the group if you are an administrator. The app will then make it easier to make simple changes along the way.

If you usually only reply to invitations it is easier to use the app. You will then be updated on other participants of the event, comments from others that also have been invited, and current changes to the event. You will be able to adjust settings in the app, and can for example select what you wish to be notified about.

NOTE: Not everyone has a smartphone. With Spond you can choose to send out an SMS or email. We recommend that you choose the email option for those that this applies to, to ensure that they will also be able to respond.

No, if you don't wish to use the app, and only receive notifications by email, you only need to accept the group invite to be able to respond to events, comments and payment requests through your email. To reply to direct messages, edit your profile and get a fullI overview of the whole group, you can register on https://spond.com/register and log in on https://spond.com/login.

If you download the app and log in, the email notifications will stop. When you log out of the app, the email notifications will start again.

If you wish to unsubscribe from the email notifications you can do so at the bottom of the invitation. This is also where you re-subscribe.

For Admins: The group code is only possible to add in the app so if someone dont want to use the app you need to invite them with their email/mobile number.


How do I find and join a group in the Spond App?

It's not possible to manually search for a specific group, as Spond only generates closed groups. You will be automatically added to a group if you're invited by the group admin. The group admin can invite you either by email or by sharing a group code/link with you. The process is slightly different in each case:

I haven't received a group code. My group admin has invited me using my email or phone number:

  1. Follow the instructions in the email you received to accept the group invite. Read more.

  2. Register to create an account in the app - this will be your login details

  3. Login to the app to see the group

If you've been invited, registered and logged in, but still can't see the group, the admin might have added you with different contact points than those you registered with. In this case, you need to contact them to update this.

Already have the app? Go to the Groups tab and accept the group invite.

Don't want to use the app? Instead of downloading the app, go to https://spond.com/register to register and log in.

Received a group code:

  1. Download the app in App Store or Play Store (It’s free!)

  2. Register and create an account in the app - this will be your login details

  3. In the "Groups" tab, press the "Enter code" button near the bottom right corner and follow the instructions.

  4. Group admin will now get a notification and can accept the member request.

NOTE: The Group Code can only be entered in the app, not on the desktop interface.


Can multiple people register with the same phone number or email address?

No. You can't register multiple users with the same phone number or e-mail address, as this is used for logging in as well as identification. Each person is required to have unique contact points if they are added with these.

If a child is not old enough to respond themselves, you do not need to add a contact point next to their name, only on the guardians.

If a member has been added as a child/youth member (without a contact point, only guardians) but are now old enough to respond themselves, the administrator has to find the member in the group member list and add the childs contact point next to their name. The child will then receive a group invite and both the child and the guardians will be able to respond on behalf of the child.

The main difference between which age group you choose is whether you want the member to have a guardian listed. You can change this at any time under the group's settings

Children/Youth

  • Add parents with contact information so they can respond on behalf of the child

  • You can choose whether the child can also answer himself: Select 'click here to add the child's telephone or e-mail'. (Remember that they must have a unique point of contact, not the same as their guardian's)

  • The response to the event will still only be registered once.

  • Both the guardians and the child will be notified of events or comments if all are registered.

    • Example group: Children's and youth sports, school groups

Adult

  • Everyone answers themselves. No option to add guardians

    • Example: Company team

Mixed

  • Choose which members you want to add guardians to

    • Example: Mixed teams, for example choir, gymnastics


How do 'Groups' and 'Sub groups' work?

The purpose is to make it easier for larger groups consisting of several teams. Each subgroup can communicate amongst themselves with this feature. They can also bring players from other subgroups (sport teams) when needed, for example for a particular sport game.

You can add several sub groups after you have created a group. For example, if you create a main group by the title “Teamname Boys 03”, the title of the subgroups (teams) might be yellow/red/green or zebra/tiger/lion etc.

All of the players will be in the main group, but each player will also be added into the particular subgroup that they belong to. It is also possible to add one player into several teams (subgroups).

All of the players in each subgroup will be alerted by all invitations and comments that are created in the main group. If some information is meant for a particular sub group, that information can be added in that particular group and no other group will see that information (except from admins). For example, in the subgroup “Zebra”, the team leader might invite the team to a match or practice, and add messages that are specific to that team and its players/guardians. The administrator (team leader or coach) may bring a player from another sub group if he or she for example needs an extra player for a particular match.

NOTE: This feature also works well for adult leagues that have 1, 2, or even 3 groups or teams.


How do I create a subgroup?

Creating a subgroup in the Spond App is simple:

  1. Go to your group in the app

  2. Press 'Subgroups' in the menu

  3. Press 'Create a group'

  4. Select a sub group name and colour

  5. Press 'Members' to add new members or members from the main group.


Who sees what in 'Main group and subgroups'?

It's not always easy to know who sees what with one main group and several subgroups. Here is an overview:

Explanations:

'In another subgroup' means a user who is not a member in the subgroup where the event was created.

When that user created the event, this will always show in 'Events' and in group/subgroup.

*If the user has declined the event it will display in “Declined” both in “Events” and in group/subgroups.


Can I download the app with my Windows Phone?

Spond is currently only available for iPhone and Android. However, it is possible to respond to all notifications for those with a Windows Phone as they will receive an email with a link to a page on the web, where they can respond. It is also possible to use Spond on web: https://spond.com/login

There are still some limited resources since Spond is a start-up. We are therefor prioritizing to get the app to work optimally for iPhone and Android at this stage, as we aim to deliver the greatest user experience.


Why do you need to be 13 years and older to download the Spond App from Google Play?

App Store (iOS) and Google Play (Android) have different user agreements. App Store requires you to be at least 14 years old, while Google Play requires users to be 13 or older.

Spond allows its users to share pictures, which is the primary reason for the minimum age set by Google Play. You are able to add a group photo or share pictures in your group with Spond. This feature may be used by team leaders and sport instructors, who share pictures after games or events. We personally view this as a great feature and wish to keep it as a part of the app, despite the fact that we don’t believe that Spond requires a 13 year-old age limit.


Why does Spond require access to my location?

We only request access to your location to ensure that Spond gives you the best experience as a user. It is natural to add “place” when you send off invitations, which is one of the reasons as to why Spond requires permission to your location. It is helpful for the app to know where you are, as the alternatives that appear when you enter a place or address will be close to your location and not on the other side of the world.

Why can't I download the Spond App?

To download Spond, you must have the correct country account set up in the Appstore, Google Play or Huawei App Gallery.

Spond is available and supported in the following countries:

Austria, Australia, Belgium, Canada, Denmark, England, Finland, France, Ireland, Italy, Luxembourg, the Netherlands, Norway, Scotland, Spain, Switzerland, Sweden, Germany, the United States and Wales.

To set the correct country for your account:

We do not recommend that you change country in order to download the app, only to switch if you have set up the wrong one.


Why is the Spond App not being updated in App Store?

The app is updated, however it will only say 'Open' if you enter App Store to update. This is an error in App Store.

Solution: Click 'Updates' in the bottom right corner. Spond will then appear with an 'Update' button instead of an 'Open' button.


How do junior groups work in the Spond App?

A junior group allows both the young person and their parents/guardians to reply to events and posts in that group. This feature lets you register a junior member with guardians (however, this is optional, as it is also possible to register young people and allow them to reply themselves). Guardians can then reply on behalf of the junior member, or the young person can answer themself (if they have a smartphone). The parent or guardian will be notified if the another guardian accepts an invitation or changes the answer to an invitation Both the other guardian and the child will be notified of any messages or updates.

This simplifies planning for training sessions and matches for team leaders/coaches, as they can easily see who, and how many will attend the event. All guardians and the child are also continually updated.

This feature might be specifically beneficial for children with divorced parents.

NOTE: This feature works best when everyone (the child and the guardians) has the app.


Will members receive a welcome message when I invite them to a group?

Yes. You will we able to add a welcome message when you create a new group. The people that you add to that particular group will receive that message. You can do this under Group settings > Group description.


What options do I have within group settings?

You can change the group name, group description and settings for publication in the group settings.

“Settings for publication” means that you can control who can add events or posts in the group. You can choose between;

  • Guardians and administrators

    • Guardians and administrators can publish posts and events.

  • Guardians can publish posts

    • Guardians can publish posts.

    • The administrator can publish both posts and events.

  • Only administrators

    • Only administrators can publish posts and events.

  • Everyone within the group

    • Children, guardians and the administrator can publish posts and events.


How do I change the name of a group in the Spond App?

The group administrator can change the group name in the app and on web.

  1. Go to the group

  2. Press the 3 dots in the menu and Group name

  2. Press the 3 dots in the menu and "settings", then "group name"

I can't change the group name

If a group administrator is unable to change the name (the field is greyed out) they dont have the admin permissions to do so. It could also be that the group is connected to Spond Club, in which case, it's the Club admin who has to change the name through the Club platform.


How can I leave a Spond group?

If you want to leave a Spond group, you can go to the group, press the 3 dots in the menu and select "leave group". The group leader will receive a notification if you leave the group.

If the group is linked to Spond Club, you will be asked to send a message to the group's contact person (often a coach or team leader) who can remove you from the group and inform the club if you also want to terminate your club membership. In some clubs it is still possible to be a member without belonging to any particular group.

If you also want to end your club membership, it is important that you also contact the club directly and opt out in a way that is in accordance with the club's guidelines. Some clubs accept termination by email, while others require you to complete a termination form. Contact your club for more information.


How can I delete a Spond group?

There several reasons for wanting to delete a group:

  • The group is no longer active, the team or club is deactivated.

  • The activity in two groups are going to be merged in another group.

  • The group has never been used.

When you delete a group, your actions can not be undone. All content will be deleted(members, posts, history, payments) and everything will be lost for everyone. We do not restore deleted groups as of today.

Before you delete a group you should:

  • Make sure all the group managers agree on deleting the group.

  • Make sure to export all the content you need.

  • Make sure that you really want to delete the group, or if the right thing for you is to leave the group.

This is how you delete a group:

  1. Go to the group and choose Settings (3 dots).

  2. On the bottom you can choose Delete Group.

  3. Check off all the alternatives to confirm that you understand the consequences for the delation.

  4. Choose Delete Group.

  5. Confirm that you have understood that your action can not be undone, and that you delete everything, for everyone. Choose Delete Group.

You need to be group manager to be able to delete a group.

Can't delete your group? If the group belongs to a Spond Club, the group must be deleted by a club administrator from there.


Will members receive a welcome message when I invite them to a Spond group?

Yes, you'll be able to add a welcome message when you create a new group. The people that you add to that particular group will receive that message. You can do this under group settings > Group description


How do I change the contact person for a Spond group?

The group admin can change the contact person of a group by:

  • Pressing the 3 dots in the menu in the group

  • Select "Settings" then "Contact person" to select from one of the other group admins.

I can't change the contact person

  • You might not have the right admin permissions to do so. In this case, contact the Group Manager who will have access to change this.

  • If you have all the admin permissions but are still unable to change the contact person, the group might be connected to Spons Club, in which case it is the Club administrators who can change the contact person.

    • They can do this by going to Spond Club > Departments and groups > find the relevant group > press Edit in the top right corner, then select a new contact person.
