A Complete Guide to Viewing, Managing, and Customising Booking Forms in Spond Club

When you open a booking form for a course or academy in Spond Club, you get a comprehensive overview of all the important details. This includes the course title, the option to share a registration link, view the form, and invite members. You’ll also have access to five key menu options: Summary, Settings, Registrations, Registrations without Membership, and Cancelled Registrations.

This guide reviews each of these menu options and explains what information you’ll find under each category and how to manage the registration process effectively.


Summary


"Summary" provides you with a general overview of the course. Here, you can find information about paid amounts, the number of active registrations, the number of cancellations, and amounts that have been refunded.


Further down the page, you will see the main products and optional products included in the registration, along with details such as price, number of registrations, remaining available spots, and the total amount paid.


Settings

Under "Settings," you will find all the details about the course or academy. Here, you can view the course description, start and end dates, as well as all other relevant information related to the registration. You also have the option to edit the registration form by clicking "Edit" on the right side.

Further down the page, you will see if "registrations for external participants" are allowed. This can also be edited by clicking "Edit" on the right side.

At the bottom, you'll find "form fields," which are only part of the registration itself. When processing a registration, you can choose to copy all the information to the membership fields. These can also be edited by clicking "Edit" on the right side.


Registrations

The Registrations section provides a detailed view of all registered participants. Key features include:

  • Filtering and Columns: Customise your view to get detailed participant information.

  • Cancel Bookings: Cancel a participant's registration by clicking on the three dots next to their name.

  • Add Registration Manually: Register participants manually if they’re exempt from payment or unable to register themselves. You can choose to register members from the membership list or as external participants.


Registrations Without Membership

This section lists participants who have registered for the course but are not club members. To manage these registrations:

  • Create Memberships: Click on a participant to set up their membership.

  • Separate Membership Type: You can create a new membership type (e.g., "Course") to differentiate between regular members and course participants.

  • Bulk Approve Registrations: Select multiple participants to approve them all in a single action, making the process more efficient.


Cancelled Registrations​

The Cancelled Registrations section provides an overview of participants who have cancelled their course bookings. For each participant:

  • Refund Options: You can choose to issue a full or partial refund, depending on the situation. This flexibility allows you to manage refunds based on the agreements or circumstances.

Can I manually register participants who couldn’t sign up on their own?

Yes, you can manually register participants by selecting Add a Registration under the Registrations section. You can register members from the membership list or external participants.

How do I differentiate between course participants and regular club members?

You can create a separate membership type (e.g., "Course") under Registrations Without Membership to easily differentiate between course participants and regular club members.

Can I bulk-approve multiple registrations at once?

Yes, in the Registrations Without Membership section, you can select multiple participants and approve them in a single action, making the process faster.

How do I issue a refund for a cancelled registration?

In the Cancelled Registrations section, click on a participant's name and choose whether to issue a full or partial refund, depending on the situation.

Can I modify the registration form after it’s live?

Yes, you can edit the registration form by clicking Edit under the Settings section. Keep in mind that changes will affect future registrations but not existing ones.
