How to set up a Subscription in Booking Forms/Forms for Camps & Clinics

Managing subscriptions for Courses and Academies, including fees and related products is a breeze with Spond Club. This guide will help admins set up subscription payments, ensuring smooth and efficient financial management for your club's activities.


How to Set Up a Subscription Payment

You can find the solution for registrations with recurring payments under Booking Forms in the left side menu. There you can also create a registration.

The first thing you do is fill in basic information about the course or activity. Including title, description and date. You also choose whether the booking form should be Public, which makes it visible in Spond Discover and the course list, or Private, which means it is only accessible via the sharing link. Then you set up the participation options. Here you can choose different options and prices, and the maximum number per participation option.

If you want members to have recurring payments, you select this per participation option by choosing "recurring payments" when setting up the participation option.


Registrations after the course has started

You can decide how to handle members who register after the course has started. You can choose how the current month should be charged upon registration.

Options:

  • Charge for the current month only if there are more than X days left.

  • Always charge for the current month.

  • Never charge for the current month.

  • Make charging for the current month optional upon registration.


Other things to remember

Member fields you have previously set up in Spond Club will be available and you can choose whether they should be required, optional or not visible. You can also add custom fields that will apply specifically to this registration form, in addition to requesting consent for club terms and voluntary photo consent.

When you have finished creating the registration, you will see the summary page where you have an overview of the participation options, how many places remain and how many have registered. At the top you will find a sharing link. You can copy this and share it with others via email or social media.

You can also choose to send an invitation to existing club members or guardians. Members who register will have full overview of the payment in their Spond profile, where they can also cancel the agreement and will automatically move to the notice period you have set.


How do recurring payments work for members?

When members opt into a subscription, they (or their guardian) can manage it in the Spond App under the Payments section. If their card expires, they will receive a push notification via the app or an email if they don't use the app. Receipts are emailed after each payment. Members can update their card details and cancel subscriptions directly in the app.

If a member leaves the club or if the club wants to stop a subscription, the club admin can exempt the remaining payments.
