A Guide to Creating, Monitoring, and Archiving Payment Requests

Spond Club makes managing your club's finances simple by allowing you to create and monitor payment requests. Members using the Spond app receive push notifications about payments, while those not using the app get notifications via email or SMS. You can easily track paid, unpaid, and overdue payments, and even send reminders when necessary.


Accessing Payment Requests

To access the payment requests homepage, go to Finance in the left menu in Spond Club, then click on Payment Requests. From here, you can add new payment requests, search through existing ones, and browse both active and archived payment requests.


Creating a Payment Request

Click on the Add Payment Request button to create a new payment request. For detailed steps on how to do this, read the article on creating a payment request in Spond Club.


Active and Archived Payment Requests

When you first click on Payment Requests in the menu, you'll see the list of active payment requests. To view archived requests, click on Archived at the top left. Archiving helps you organise past payment requests that are no longer active while still keeping a record for future reference.

How to Archive a Payment Request

While viewing active payment requests, hover over the left side of the payment request name you wish to archive.

  1. A white box will appear; click to check it ☑️.

  2. Click the Archive button at the top left to move the payment request to the archived section.

Alternatively, you can archive a payment request while viewing it by clicking the three dots at the top right and selecting Archive.

NOTE: To archive multiple requests at once, check several boxes before clicking the Archive button.

How to Reactivate a Payment Request

If you’ve archived a payment request and want to move it back to active, follow these steps:

  1. Click on the Archived tab at the top left.

  2. Select the payment request you want to reactivate.

  3. In the payment request, click the Move to Active button in the light orange box at the top.


Search and Filter Payment Requests

  • Use the search field 🔍 to quickly locate payment requests.

  • Add filters to show only specific types of payment requests.

  • Use columns to display particular information, like payment request titles and the number of payments completed.

  • Click on a column name to sort it in descending ▾ or ascending ▴ order.

Frequently Asked Questions

What happens when you archive a payment request?

After a payment request is archived, any unpaid claims remain active and can still be paid. If you want to exempt unpaid claims from an archived payment, click on the specific payment and adjust the claim.

How do I send a payment reminder for an unpaid request?

To send a payment reminder, go to Payment Requests in Spond Club, find the unpaid request, and click on it. In the payment details, you’ll find an option to send a reminder to members. This reminder will be sent via the app or email, depending on the member’s contact details.

Can I edit a payment request after it's been sent out?

No, once a payment request has been sent, it cannot be edited. If changes are needed, you’ll need to create a new payment request and send it out. You can archive the original request to keep your payment list organised.

What happens to unpaid claims when a payment request is archived?

Unpaid claims remain active even after the payment request is archived. Members can still complete the payment. If you want to exempt an unpaid claim from an archived payment, go to the specific payment request and adjust the claim.

How do I view only the archived payment requests?

Click on Payment Requests in the Finance menu, then select the Archived tab at the top left. This will display all payment requests that have been archived.

Can I reactivate a payment request that was archived by mistake?

Yes, you can easily move an archived payment request back to active. Go to the Archived tab, select the payment request, and click the Move to Active button in the light orange box.
