Once you have created and sent a payment request in Spond Club, it is important to manage the next steps effectively. This guide provides an overview of how members view the payment, as well as how you can adjust, exempt, or send reminders for payments.
Follow up on payments
Once you have sent out a payment request, there are three main ways to follow up on who has paid and who has not:

The easiest way to follow up on a specific payment request is via the recipient list:
From the left-hand side menu, click Finance
Payment Request
Click on the relevant payment
Scroll down to «Recipients»
Here you will see a complete list of everyone who has received the payment request.

In the recipient list, you can customise the view for better overview:
Columns: Click the column button to select which columns you want to display, for example:
Amount paid
Status
Outstanding
Payment segment
Filtering: Use the filter button to show only relevant members, for example:
Filter on «Amount paid» = to see who has not paid
Filter on «Outstanding» = to see who has unpaid amounts

You can also check the payment status for an individual member by going to their profile:
Go to Members → Active members in the side menu
Click on the member's name
Scroll down to the "Payment Requests" section if it concerns a payment created in Spond Club, or "App payments" if it concerns a payment created in a group in the Spond app.
Here you will see a complete overview of all payment requests sent to this member, as well as the payment status for each.
Where members receive the payment notification
Members who have downloaded the Spond app and are linked to a group within the club will receive a push notification about the payment in the app.
Members who have not downloaded the app, or those who have the app but are not part of a group in your club/organisation, will receive the payment notification via email.

Editing the payment request setup after sending
If you make changes to the payment request setup after it has been sent out (e.g., changing the price, due date, or transaction fee setting), these changes will only apply to new payments sent out. The changes do not affect payments that have already been sent to members.
If you want the changes to apply to payments that have already been sent, you must make manual adjustments:
For changes such as price or due date: Edit the individual payment for each member. See the guide under «Change the price, exempt a payment, or adjust the payment option» below.
For instalments already in progress: Edit the individual payments/instalments.
For changes such as transaction fee setting or payment contact: Use this workaround: First exempt the member from the payment, then remove the exemption. The member will then receive the payment again with the updated settings.
Change the price, exempt a payment, or adjust the payment option for a member on a payment request
If you have sent out a payment request to a member who should not pay, you can exempt the charge. It will then be removed for that member. If someone has received the wrong price, you can edit it – the updated price will be reflected for the member as soon as you save the changes. You can also change the type of payment option the member should have (One-time payment, Instalment, or Flexible payment).
Note❗️For Norway only, membership fee payments that are synchronised with NIF cannot be changed to instalment payments.

Scroll down to “Recipients”
Click on the name of the member you wish to exempt from the payment or adjust the price for
Click Edit next to “Active claims”
To exempt: Uncheck the box for the product
To adjust the price: Enter the new price in the field
Click Save

Select the relevant payment
Scroll down to “Recipients”
Click the name of the member you want to exempt from the instalment or adjust the price for
Scroll down to “Payments received”
Click the button with the three dots to the right of the payment you want to change or exempt
Choose:
Exempt — Add a note if you want to document the reason for the exemption. Avoid including sensitive personal information you do not wish us to process.
⚠️ Note: A payment exemption for an instalment cannot be reversed afterwards.
Edit price — Enter a new amount. If you make changes to this claim, you can document them by adding a note. Avoid including personal or sensitive information.
Once the desired changes have been made, click “Save” in the bottom right corner

Payment Request
Select the relevant payment
Scroll down to “Recipients”
Click on the name of the member for whom you wish to change the payment option
Click Edit next to “Active claims”
In the drop-down menu at the top, choose between:
One-time payment
Instalment payment
Flexible payment
Edit the due date or first due date if needed
⚠️ It is not possible to change the date of scheduled instalments after the payment has been sent out.If you selected Instalment payment or Flexible payment, choose the number of instalments (2 — 12)
Click Save

Send a reminder to those who have not completed their payment
When a payment is overdue, you can send a reminder. You will find the “Send Reminder” button beneath the pie chart in the payment request as soon as the due date has passed for certain members. The payment reminder will be sent both via email and in the app for those who have installed it. Members without the app will only receive the reminder via email.
When you send a reminder, you will be able to see the time the last reminder was sent and how many reminders each member has received.

You can follow up on payments in three ways:
