Managing Payment Requests

When you click on a payment request, you will get an overview of the financial status, including how many have paid, the total amount paid, how many payments are overdue, etc. You will also see a pie chart showing the percentage of paid, Not paid, and overdue payments. Example image ↴

In this help article, you will be introduced to the different menus in a payment request and how to manage them.

Create Copy / Archive

By clicking on the three dots in the upper right corner, you can:

  • Create a copy of the payment request. This can be useful if you need to create a new payment request with the same criteria. This takes you to the same page as when creating a new payment request, but with many fields pre-filled.

  • Move the payment request to the archive. You can archive payment requests to keep track and organize past requests that are no longer active. When you archive a payment request, it is moved to a separate section called "Archive", and it will no longer be visible in the active list of payment requests. Various Notifications

Below the status section and the pie chart, you will receive various notifications as they occur.

For example, there might be a notification that one or more members...

  • ...can be added to the payment request.

  • ...who are already added to the payment request have new charges that can be added. This can happen if a new fee arises that the member also needs to pay.

  • ...have charges where the due date has passed.

  • ...are missing a payment contact.

Regardless of the notification, there will always be a button on the right side of the notification line that you can click to manage the notification. For example, if members have charges where the due date has passed, you can click the button associated with that notification to send reminders. Example image ↴

Payment Details

In payment details, you have an overview of key information about the payment request.

Key Information in Payment Details

  • Type: Shows the type of payment request chosen. You can read more about payment request types here.

  • Description: Here you can add a detailed description of what the payment is for. This field is important to provide your members with clear information about what they are paying for, which can include anything from membership fees to training fees, events, or specific activities. A clear description helps avoid misunderstandings and ensures that members know what they are paying for.

  • Account (Club Account): Shows the payout account where payments from the payment request go. You can read more about accounts here.

  • End Date and Payment Deadline: Read more about end dates and payment deadlines here.

  • Family Discount: Shows whether a discount is activated for the payment request. Family discounts allow the club to offer discounted membership fees to families with multiple members in the club. Read more about family discounts here.

  • Transaction Fee: Shows whether the transaction fee is included in the price members pay or not for this payment request. Read more about transaction fees here.

  • Edit: In the upper right corner of the payment details box, you will find an edit button. Example image ↴


    This allows you to make changes to the payment request, such as which account the payments should go to, end date, family discount, etc.

    ⚠️ NOTE! The payment type cannot be edited once the payment has been sent out.

Payment Segments

Under "payment segments", you will find an overview of the payment segments you have previously selected for this payment request, as well as an overview of how many have received the payment request within that segment, compared to the total number belonging to the segment. Recipients

Here you get a list of all the members who have received the payment request. By using columns, you can also get statuses such as whether the request has been paid, how much has been paid, and how much is outstanding, among other things. Use columns and filters (UPDATE LINK) to customize the overview as you wish. You can also search for members.

If you click on the name of a column in the recipient overview, that column will be displayed in descending order▾, click on the name again, and it will be displayed in ascending order▴.

Frequently Asked Questions

Can I change the contact email during creation and afterward in a payment request?

No, this cannot be changed during creation or afterward. There is no field for this, as it is automatically linked to the administrator who creates the request. This is currently a deliberate design decision, not an error.
