Guide to Processing, Approving, and Importing Member Sign-ups

Sign-ups in Spond Club provide an overview of both new applicants and approved members. This feature allows you to see which individuals have recently applied for membership, manage these requests efficiently, and keep your membership list up to date.


New Sign-ups: How to Process Applications

To approve new members, go to Members and then Sign-ups. Here, you will find an overview of all New Sign-ups. You can use the filtering function to narrow down the list to a specific sign-up if needed.

  1. Bulk Approvals: By selecting all members, you can approve or reject multiple applications at once.

  2. Individual Review: Alternatively, you can review each member's application individually to approve, edit, or reject the sign-up. Editing is often necessary if the member has not chosen which group they wish to join.

In this section, you may encounter different statuses for sign-ups:

  • Awaiting Approval: The member has applied for membership through the club’s sign-up form and is now waiting for club administrators to process the request. As an administrator, you can:

    • Approve the member immediately.

    • Reject the sign-up.

    • Send a payment request (approve after payment). If you choose this option, the member will automatically gain access to the club and Spond group once payment is completed.

  • Waitlist: The registration is on a waitlist due to group capacity limits. You can still approve this registration, but it will shift the sign-up for the next member in the queue.

  • Payment Expired: The set time for the member to complete the payment has expired.

  • Payment Processing: The payment request has been sent, and payment is pending. Note that it is not possible to send a new request or reject the application during this stage.

This section shows the number of members who have renewed their membership via the renewal function in Spond Club and are now awaiting approval.


Approved Sign-ups: Viewing Completed Registrations

The Approved Sign-ups section provides an overview of members who have completed the sign-up process and have been formally registered in the club. Here, you can view information such as name, member type, sign-up date, and other relevant details related to their registration.


Importing Sign-ups

You can import sign-ups using an Excel template or a pre-filled Excel sheet:

  • Using the Template: Download and use a predefined Excel template to ensure all necessary fields are correctly formatted, making the import process simple and efficient.

  • Uploading a Pre-filled Sheet: If you already have an Excel sheet with the relevant information, use Upload Completed File to import the data.

If there is an error in the form, an error message will indicate what needs to be corrected, ensuring a smooth import process.

How do I approve multiple sign-ups at once in Spond Club?

To approve multiple sign-ups simultaneously, go to Members and select Sign-ups. In the New Sign-ups section, use the checkbox to select all members, then choose the option to approve or reject all at once.

What happens if a member’s payment expires during the sign-up process?

If a member’s payment expires, their sign-up status will change to Payment Expired. The member will need to reapply, or you may send a new payment request manually if necessary. They will not be added to the club until payment is completed.

Can I import new sign-ups from an external list?

Yes, you can import sign-ups using an Excel template. Download the predefined template from the Import Sign-ups section, fill it in with the relevant details, and upload it using the Upload Completed File option. If there are errors in the form, an error message will indicate what needs to be corrected.
