Managing Sign-ups in Spond Club

Updated over a week ago

Sign-ups in Spond Club provide an overview of both new applicants and approved members. This feature allows you to see which individuals have recently applied for membership, manage these requests efficiently, and keep your membership list up to date.

New Sign-ups

When you are in the “Sign-ups” menu, you will find an overview of all “New Sign-ups” in the tab of the same name.

Use the filtering function to find the desired registration if needed. By selecting one, several or all members, you can approve or reject multiple registrations at the same time.

You can also open each individual member to approve the registration after payment, approve it, edit and save it without approving immediately, or reject the registration. You can also add, edit or remove a group for the member. This can be done in two ways:

  • Tick the checkbox to the left of the member’s name and click the Edit button at the top of the page.

  • Click directly on the name of the person you want to edit. A new page will open showing an overview of the information the member has provided. The Edit button can be found at the top of the member information.

Editing and approval are usually necessary if the member has not selected a group, has selected the wrong group, or if the information provided is incorrect, for example a misspelled name.

Once you have made any changes and clicked Save, the next page will show both the information originally submitted by the member and the changes made by the club. This makes it easy for administrators to review what the member registered and what adjustments were made before approval.

⚠️ NOTE! You cannot assign a member to more than one group while in edit mode. To assign an active member to multiple groups, approve the member first under MembersActive members, then scroll to Groups and click Add to group.

Sign-up status

Once you have navigated to “Sign-up”, you will see a list of people who have signed up. In the overview, the different sign-ups can have different statuses:

  • Awaiting Approval: The member has applied for membership through the club’s sign-up form and is now waiting for club administrators to process the request. As an administrator, you can:

    • Approve the member immediately.

    • Reject the sign-up.

    • Send a payment request (approve after payment). If you choose this option, the member will automatically gain access to the club and Spond group once payment is completed.

  • Waitlist: The registration is on a waitlist due to group capacity limits. You can still approve this registration, but it will shift the sign-up for the next member in the queue.

  • Payment Expired: The set time for the member to complete the payment has expired.

  • Payment Processing: This means that the member has received the payment request, and the payment is now pending completion. (It is not possible to send a new request or reject the current one).

You do, however, have the option to adjust the price, remove individual products, or delete the entire payment from the registration.

Read more here on how to do this.

Membership Renewals

This section shows the number of members who have renewed their membership via the renewal function in Spond Club and are now awaiting approval.

Approved Sign-ups

The Approved Sign-ups section provides an overview of members who have completed the sign-up process and have been formally registered in the club. Here, you can view information such as name, member type, sign-up date, and other relevant details related to their registration.

If you click on a member in the list, you will see an overview of the information registered for that member. If any changes were made by the club before or during approval, you will see both the original details provided by the member when joining and the edits made by the club.
This gives administrators a clear overview of what the member originally submitted, along with any updates made by the club.

Importing Sign-ups

How to Import Registrations

You can import sign-ups using an Excel template or a pre-filled Excel sheet:

  • Using the Template: Download and use a predefined Excel template to ensure all necessary fields are correctly formatted, making the import process simple and efficient.

  • Uploading a Pre-filled Sheet: If you already have an Excel sheet with the relevant information, use Upload Completed File to import the data.

If there is an error in the form, an error message will indicate what needs to be corrected, ensuring a smooth import process.

Export

Under the “New sign-ups” tab, you can export all or selected individuals from the list to an Excel file.

⚠️ NOTE: It is currently not possible to export the list for the tab "Accepted sign-ups" to an Excel file.

Export all new sign-ups

To export all new sign-ups, click the checkbox at the top of the list, above the first member.

All members will then be selected, and new buttons will appear at the top of the page.

Click "Export" and the file will be downloaded automatically.

Export selected members

To export selected members, move your cursor to the left of the person you want to include. A checkbox will then appear.

Click the checkbox to select the member. Repeat this for any other members you want to include in the export.

New buttons will appear at the top of the page. Click "Export" and the file will be downloaded automatically.

Frequently Asked Questions

What should I do if a membership request shows a duplicate warning?

If you receive a duplicate warning on a membership request, it means the system has detected that the request may be linked to an existing member. Before approving the request, you should therefore check whether it is actually a duplicate.

  1. Check whether it is a real duplicate

Consider whether the membership request applies to:

    • the same person who is already in the member list, or

    • a different person who has accidentally used the same contact information

  2. If they are two different people

In that case, the contact information has been registered incorrectly for either the new member or the existing member.

You can then do one of the following:

    • Update the contact information for the existing member, and then approve the membership request.

    • Use the Edit and approve option and correct the contact information directly in the request before you save.

  3. If it is the same person

We recommend doing one of the following:

    Option 1

    • Transfer any new information from the membership request to the existing profile.

    • Then decline the membership request.

    Option 2

    • Select Edit and approve, remove the contact information, and save.

    • Go to the member list and find both profiles.

    • Use the Merge option to combine the profiles into one.

How do I approve multiple sign-ups at once in Spond Club?

To approve multiple sign-ups simultaneously, go to Members and select Sign-ups. In the New Sign-ups section, use the checkbox to select all members, then choose the option to approve or reject all at once.

What happens if a member’s payment expires during the sign-up process?

If a member’s payment expires, their sign-up status will change to Payment Expired. The member will need to reapply, or you may send a new payment request manually if necessary. They will not be added to the club until payment is completed.

Can I import new sign-ups from an external list?

Yes, you can import sign-ups using an Excel template. Download the predefined template from the Import Sign-ups section, fill it in with the relevant details, and upload it using the Upload Completed File option. If there are errors in the form, an error message will indicate what needs to be corrected.
