Groups that belong to a Spond Club profile can have a capacity limit for the number of members. Once this limit is reached, new members registering via the sign-up form will automatically be placed on a waitlist.
This article explains how the waitlist feature works, both for club administrators and for individuals who have joined or are planning to join a club or group.
The waitlist feature for Spond Club administrators
To set a member capacity for a group, go to the left-hand menu in Spond Club and click on “Departments and Groups”
You can either create a new group or find the group you want to set a capacity limit for. Read more here about how to create a group and how group capacity works.
💡Tip!
A group can have up to 1,000 members in total, including members of any subgroups. This means that the number of members in all subgroups is added to the main group and together count toward the maximum limit of 1,000 members.

If you, as a club administrator, have set a capacity limit for a group, new sign-ups via the registration form will automatically be placed on the waitlist once the group has reached its maximum number of members.
From the Spond Club homepage, click on the box labeled “Waitlisted”.
Here you’ll see an overview of all members currently on the waitlist. You can sort the list by registration time and/or filter by group to more easily identify who signed up first, in other words, who is first in line for an available spot. Read more about how to use the filtering feature here.
You also have the option to approve members from the waitlist even if the group is full, or to approve someone who signed up after the first person on the list.
From the left-hand side menu, click on Members → Sign-ups. By clicking on Status, you can sort by the type of sign-up status, making it easy to view all members currently on the waitlist.
You can also sort the list by registration time and/or filter by group to more easily see who signed up first, in other words, who is first in line for an available spot. Read more about how to use the filtering feature here.

When you’re joining a club as a new member, this usually happens via a registration form. You’ve most likely received a link to the form from a club administrator, or perhaps you’ve found the link on the club’s website or another platform where the club shares information.
In most cases, you’re able to join a group directly when registering. However, if the group you want to join has reached its maximum capacity, you’ll automatically be placed on the waitlist.

When you access a registration form, you may be able to select a group, if the club has set up the form to allow this.
Available spots: If the club has enabled this feature and the group you wish to join has a limited number of places, you will see how many available spots there are when selecting the group from the dropdown menu.
No available spots: If you select a group that has reached its maximum capacity, you will see a message saying: “There are no available spots in this group. You can still sign up and will be placed on the waitlist. You do not need to make any payment at this time.”
Confirmation email: If the club has enabled this feature, you will receive an email confirming both your registration and when your membership has been approved. If this is not enabled, you will still see the group appear under “Groups” in the Spond app once your membership has been approved.

It’s not currently possible to sort by a specific queue number, but you can easily get an overview by sorting the waitlist by Sign-up Time (date and time) when members signed up. You can also filter by group to get a clearer overview.
