Membership renewal in Spond Club makes the renewal process simple and time-saving for both club administrators and members. The feature is designed to reduce administrative work and contribute to more efficient club operations.

With this solution, club administrators can spend less time on paperwork and more time on actual club activities. A simpler renewal process also ensures that members enjoy a smooth experience and remain engaged and satisfied within the club.


What is Membership Renewal?

Membership renewal makes the process of renewing memberships simple and efficient. The feature sends a personalised link to existing members with pre-filled information. This allows members to quickly re-register without having to enter the same details multiple times. It saves time, reduces the risk of errors and duplicate entries, and at the same time ensures that members’ information is kept up to date, including consent to the club’s terms and photo permissions.

Guide to Using Membership Renewal

  1. From the side menu in Spond Club, click Club registration forms

  2. Select the form you want to use

  3. Scroll down until you see the Invited members menu. Click the button on the right, Invite members

  4. Choose recipients

    • Members and guardians

    • Members only

    • Member’s guardians only

    • Member’s payment contact

  5. Find or search for the person(s) you want to select. Tick the box to the left of their name. When you are finished selecting, click Add in the bottom right corner.

  6. Click Next

  7. Select the Duration, i.e. how long the sign-up link will remain valid (the time the member has to respond):

    • 1 day

    • 1 week

    • 2 weeks

    • 1 month

    • 6 months

  8. Subsequently, specify whether the recipient should be permitted to reply to the renewal message itself.

    If enabled, a Reply button will be displayed, generating an email to the sending administrator.

    Note that this setting does not affect the registration process itself; it only determines whether the member can respond to the message.

  9. Add a subject and a brief description. (Only an introduction is required; the full description from the form and the personalised link are generated automatically.)

  10. Click Send in the bottom right corner.


Status of Invited Members / Membership Renewal

Once an invitation to a registration form or membership renewal has been sent, an overview of the invited members will be available at the bottom of the respective form. Here, you can also view the status of each invitation or renewal.

  • Sent:

    • With automatic approval enabled: The member has received the invitation/renewal and must complete the registration. Once this is done, the status will automatically update to Signed up.

    • Without automatic approval enabled: The member has received the invitation/renewal and may have completed the registration. If so, an administrator must approve or decline the member by going to MembersSign-ups. Once the admin has approved the member, the status in the enrolment form will change to Signed up.

  • Signed up: The member has completed registration and was approved either automatically or manually by an administrator. The date and time the member joined is shown to the right of the status.

  • Expired: The member didn’t complete the invitation or renewal in time, and the registration link has expired.


When a member has completed registration

If automatic approval is not enabled, the membership renewal will appear in the list under: MembersSign-ups once the member has completed the renewal process (marked with the renewal icon).

Here the administrators can manage the request(s): approve, approve after payment, or decline.

💡 If automatic approval is enabled, the renewal will not appear in the same location as described above.

Instead, the registration is approved automatically, and the member will be listed directly under MembersSign-upsAccepted sign-ups.
