Under "Send to NIF", the club processes the submission of new members to NIF so that members receive a verification email from NIF and can confirm their membership in the club. Once this is done, members can be found in other systems linked to KlubbAdmin (e.g., FIKS, SportsAdmin for licenses, etc.).

All members who have a member type in Spond Club that is synchronized with NIF will appear under "Send to NIF" in the "Pending Submission" tab, and the club must manually submit them. Submission of members to NIF does NOT happen automatically.

If members do not have all the information that NIF requires to be submitted, they will appear under the "Missing Information" tab. The club must contact these members to gather the missing information. You can send a form from Spond Club to all those members whose email you have to collect this information.

All Norwegian sports clubs are required to submit members to NIF. Keeping the membership database up-to-date involves regularly submitting members to NIF. A good rule of thumb is to do this when you approve new members or once a week/month depending on the size of the club.

Submitting Members to NIF

Go to "Members""Send to NIF" to submit members. You can also do this directly on the member's page.

Here you have two tabs:

  • "Pending approval" - This tab contains all members ready to be submitted, those that failed submission, or those waiting for the member's approval. When you submit them, the member will receive an email from NIF to confirm the membership, and they have 24 hours to respond.

  • "Missing Information" - This tab contains members who, for some reason, do not have enough information on their member page to be submitted. They might be missing nationality or date of birth.

Pending Approval

  1. Here you can choose to submit all members at once or one by one. If you want to submit all at once, you can check the box in front of "First Name" in the menu bar.

  2. NIF then processes the data and sends a verification email to the member where they must approve. All verification emails with membership requests are sent automatically from NIF to the member or to the payment contact if it is a child.

  3. If NIF does not recognize the person, nothing will happen. Go to the member's page to see which email was used. If this does not match what is in MinIdrett, nothing will happen, and it may be wise to ask the member/guardian to update MinIdrett.

  4. Until the member has approved, their status will show as "Pending Approval"

    Once the member has approved, they will disappear from this list, and you will be able to see information from NIF in their membership information.

The process of member approval is entirely managed by NIF, and we recommend contacting NIF at [email protected] if you have any questions regarding verification. For assistance with duplicates, Spond will contact NIF on behalf of the club, so please reach out to us.

If you have already sent out payments and checked that these should be submitted to NIF, the payment will be registered directly with NIF from the Spond Club system.

Status of Submissions

  • "Not Submitted" - Ready to be submitted.

  • "Pending Approval" - Verification must be done within 24 hours, and if not completed within that time, the club admin must resubmit the member.

  • "Submission Failed" - Needs troubleshooting. It is important to carefully read the error messages to understand what actions need to be taken.

Missing Information

To request members to fill in missing information for NIF, go to "Send to NIF""Missing Information". Here you will have an overview of members who do not have enough information to be submitted to NIF.

All members that are to be submitted need the following information:

  • First name and any middle name (as in the National Registry)

  • Last name (as in the National Registry)

  • Address (as in the National Registry)

  • Date of birth

  • Nationality

  • Mobile number (for guardians if the child does not have their own)

  • Email (for guardians if the child does not have their own)

Request Missing Information

  1. Check the box in front of the members you want to send a message to in the "Missing Information" list and click "Request Missing Information". You can also do this individually on each member’s page.

  2. The member will now receive an email from Spond that starts with "no reply" and contains a link they should follow to provide the missing information. Once the member's information is complete, they will disappear from the "Missing Information" list, and the goal is for this list to be almost empty. Here is what the email sent to members looks like. Below is an image of the email that members receive.

  3. In the email, they will be asked to click a button to be taken to a form. The information the club already has will be pre-filled, so the member only needs to fill in the information you don’t have, such as nationality.

If members on this list do not have an email, you will not be able to request the missing information. You will need to obtain it first.
