Anyone undertaking roles in sports that involve a position of trust or responsibility towards minors or individuals with developmental disabilities must present a valid criminal record check (childcare certificate). This is a requirement to ensure a safe sports environment and promote enjoyment for all.

Information about criminal record checks is not synchronised between Spond Club and NIF (The Norwegian Sports Federation). However, you can still use Spond Club to keep track of who has presented a criminal record check and who has not. Please note that information for NIF must still be registered in their systems.


Keep track of who has submitted and who has not submitted their criminal record check

To keep track of submitted criminal record checks, you can set up a membership field in Spond Club:

  1. Go to Club Settings ā†’ Membership Fields ā†’ click on ā€œAdd Custom Membership Fieldā€.

  2. Create the field with a name such as ā€œCriminal Record Check Submittedā€ and set the field type to ā€œDateā€. Alternatively, you can use a ā€œDropdown Listā€ field with options like ā€œYesā€/ā€œNoā€ or ā€œSubmittedā€/ā€œPendingā€.

  3. Specify who should have access to view and edit the field. We recommend that this field is only visible to club administrators and editable by the designated criminal record check officer.


Criminal Record Check Officer

The criminal record check officer should be appointed by the main board of the sports club and have a designated deputy. This person is responsible for requesting and documenting the submission of criminal record checks for all individuals in roles that involve a position of trust or responsibility towards minors or individuals with developmental disabilities.

When someone presents their criminal record check, you can register this under Active Members by going to the memberā€™s profile, clicking Edit, and entering the date in the field.

For follow-up, you can:

  • Use the membership list with the filter at the top left. Select the criminal record check field and filter by ā€œfields without contentā€ to see who has not submitted their check.

  • Combine this with filters for roles or member types to identify who needs follow-up.

  • Send messages to these members directly from the membership list for easy communication.

This provides a clear and efficient way to keep track of who has submitted their criminal record check and who has not.
